Use one catalog record

Maintain a stable internal record for each material, then track individual batches and containers beneath it. This avoids creating inconsistent names for the same material while preserving batch-level detail.

Track status and location

Useful fields include batch, received date, quantity, unit, container count, location, status, document link, and disposition. Status definitions should be clear to everyone using the inventory.
