Use consistent filenames
A practical filename can include the product, batch identifier, document type, test or issue date, and version. Consistency makes records easier to search and reduces duplicate copies with unclear status.
Preserve the original record
Keep the original supplied file and record its source. If a reviewed copy is annotated, store it separately so the underlying analytical record remains intact.
Control revisions
When a document changes, record the version, change date, reason, and approval status. Remove obsolete versions from active use without destroying required history.
